Job Description

The Event Coordinator supports public events, exhibitions, and community use of Eltuek Arts Centre and the New Dawn Centre. The role focuses on setup, hospitality, and day-of logistics to ensure visitors, artists, and community groups have a positive experience in the building. 

The Event Coordinator works alongside Eltuek staff, Cafe Marie, tenants, and partner organizations to support the smooth running of public events and the daily life of a busy, community-facing arts centre. 

PRIMARY AREAS OF RESPONSIBILITY 

Event Set-Up and Logistics; Hospitality and Visitor Engagement; Tenant and Partner Support; Cafe Marie Reception Support; Daily Operations Support 

DUTIES 

  • Set up, tear down, and support the smooth running of public and private events, community gatherings, exhibitions, and meetings at Eltuek and the New Dawn Centre 
  • Prepare event spaces by arranging furniture and equipment, using safe lifting techniques and basic audio-visual tools 
  • Welcome visitors, artists, tenants, youth, and community members in person, by phone, and by email; direct inquiries to staff when appropriate 
  • Support catering and reception needs in coordination with Cafe Marie, including set-up, light service, and clean-up 
  • Prepare and maintain rooms used by artists, community groups, not-for-profits, and small businesses that rent or partner with Eltuek 
  • Keep event areas organized and safe by monitoring cleanliness, restocking supplies, and reporting maintenance needs to staff 
  • Use shared calendars, email, and basic audio-visual equipment to support event preparation and communication 
  • Work alongside staff across Eltuek and Cafe Marie to support daily operations in a welcoming, community-facing environment 
  • Welcome summer visitors and tourists arriving in the building, helping them find exhibitions, programs, and partner organizations 
  • Follow workplace health and safety practices, including cleaning procedures and emergency protocols 
  • Participate in team meetings and contribute observations that improve visitor flow, signage, and event set-up 
  • Represent Eltuek Arts Centre Society and New Dawn in a friendly, professional, community-minded manner

  • Participate in internal team meetings and committees as required 
  • Look for potential improvements and help implement solutions 
  • Maintain quality, safety, and the confidentiality of employees, clients, and volunteers 
  • Maintain professionalism, tact, diplomacy, and sensitivity to portray New Dawn in a positive manner, consistent with its values and vision 
  • Update job knowledge by participating in educational opportunities, engaging in professional networks, and participating in professional organizations 
  • Respond to the needs of others with effective communication, mutual respect, and consistent follow-through to build trust and workplace relationships 
  • Promote the mission and values of New Dawn both internally and externally 
  • Other duties as assigned by the Events Coordinator or Curator of Eltuek Arts Centre

QUALIFICATIONS 

  • Eligible under the Canada Summer Jobs program: between 15 and 30 years of age at the start of employment; Canadian citizen, permanent resident, or person granted refugee protection under the Immigration and Refugee Protection Act; and legally entitled to work in Canada 
  • Interest in events, hospitality, arts, and community programming 
  • Physical capacity for set-up and tear-down work, including safe lifting of light loads 
  • Comfort welcoming visitors in person, by phone, and by email 
  • Familiarity with shared calendars, email, and basic audio-visual equipment, or willingness to learn 
  • Ability to work independently and as part of a team 
  • Reliable, organized, and attentive to detail 
  • Comfortable working in a public-facing, community-focused environment 

WORK CONDITIONS 

  • Set-up and tear-down work, including safe lifting of light loads 
  • Standing and walking for extended periods 
  • Some evening and weekend work for events and receptions 
  • Manual dexterity required to use a desktop computer, peripherals, and basic AV equipment 
  • Environment can be busy and animated, particularly during exhibitions and events 
  • Interacts regularly with staff, artists, tenants, and the public
